SimpleQuo ("we", "us") is committed to protecting your privacy. This policy explains what information we collect when you use our website, quote tool, and paid account, and how we use it.

Information we collect

When you use SimpleQuo, we may collect:

• Quote content - details you enter in the quote builder (business name, contact details, client name and address, job details, line items, notes, and totals)
• Share link data - if you generate a share link, we store the quote in our database so the link works. Free-tier links expire after 30 days.
• Technical data - standard server logs (IP address, browser type, pages visited) and security data processed by our hosting provider
• Communications - information you send us by email
• Account data - if you create an account, we store your name, email, and the company details, clients, quotes, and invoices you choose to save
• Billing data - if you subscribe, Stripe processes your payment. We store subscription status and related identifiers so we can provide access and handle billing. We do not store full card numbers.

We do not require an account to use the free quote tool. If you create an account, we process the details you save so you can sign back in and reuse them. If you contact us by email, we process the details you choose to send.

How we use your information

We use your information to:

• Provide the quote builder, invoices, PDF export, share links, and paid account features
• Operate, secure, and improve the website
• Respond to support requests
• Take payment for subscriptions through Stripe
• Meet legal and accounting obligations where required

Legal basis

Under UK GDPR we process personal data on the basis of: performance of a service you request (share links and paid accounts), legitimate interests (running and improving the tool, preventing abuse), and consent where you opt in to non-essential cookies or marketing.

Where data is stored

The website is hosted on Cloudflare. Share links and account data are stored in a Cloudflare D1 database. Payments are processed by Stripe. PDF generation happens in your browser - we do not receive a copy of downloaded PDFs unless you send one to us separately.

Retention

Free share links and their quote data are kept until the link expires (30 days from creation) or until deleted as part of routine cleanup. Account data is kept until you close the account or ask us to delete it. Server logs are retained for a limited period for security and troubleshooting. Email correspondence is kept as long as needed to handle your enquiry or support request.

Sharing your data

We do not sell your personal data. We use infrastructure providers (for example Cloudflare) to host the site and store share links and account data. Payments are processed by Stripe, which acts as a payment service provider. Anyone with a share link can view that quote or invoice - only share links with people you intend to see the document.

Your rights

Under UK GDPR you may request access, correction, deletion, or restriction of your personal data, or object to certain processing. Contact us at hello@simplequo.co.uk to exercise these rights. You may also complain to the Information Commissioner's Office (ICO).

Children

SimpleQuo is a business tool and is not directed at children under 18.

Changes

We may update this policy when our service or legal requirements change. The date at the top of this page shows when it was last revised.
